Rolling Reserves, Settlement Delays and Held Funds Explained

Work out which funds are reserved, still settling or already on their way to the bank. A provider-label comparison, reserve-release calendar and reconciliation example show how to avoid overstating usable cash.

A better question. A clearer decision.

Start with the amount you cannot use

Your provider shows €62,000, but the bank account is short of the money needed for next week’s supplier bill. Before asking when the balance will arrive, establish what that figure contains. Some may still be settling, some may be reserved, and some may already have left the provider as a payout. A separate account hold can interrupt the normal sequence.

These situations need different questions. A rolling reserve needs a retention-and-release ledger. A settlement delay needs the payment’s availability date. A sent payout needs a transfer reference and bank trace. An account restriction needs the provider’s notice and a defined review process.

Keep a separate record for each currency and provider account. Start with the opening balance, then connect payments, fees, refunds, disputes, reserves and transfers to the closing balance. The aim is to identify the specific amount and stage that explain the shortfall, rather than assume every inaccessible euro is subject to the same clock.

01

Read the balance labels before adding them together

Stripe documents pending and available payment-balance states and a reserve balance that cannot be paid out or transferred during its hold period. Settlement is the transition to availability; it is not necessarily the moment money appears at the merchant’s bank. [1]

The reporting labels are not interchangeable across products. Shopify Payments says its displayed pending amount excludes reserved funds and describes total balance as pending plus reserve. [2] Mollie’s rolling-reserve guidance instead places the reserved portion in pending until it becomes available. [3] Adding a reserve figure to Mollie pending as though it were Shopify’s separate component could count the same money twice.

Use the comparison table as a prompt to inspect your own export, not as a template to impose on every provider. Ask which amounts overlap, which are already net of fees and whether a payout in transit remains inside the displayed balance. Keep one dated snapshot so changes between two reports do not look like missing money.

If the terminology remains unclear, send support a redacted example with the relevant field names, amounts and report time. Request a definition of each field and a worked bridge between them. A precise reconciliation question is easier to resolve than a request to release the entire dashboard total.

02

Identify the reserve structure and its release rule

A rolling reserve retains a portion of eligible receipts and releases successive retained amounts under a schedule. A fixed or minimum reserve can work differently. PayPal’s US explanation distinguishes rolling, minimum and jumpstart reserves, including a structure that moves funds immediately from the available balance into reserve. [4] These are PayPal product examples, not standard terms for every merchant account.

For your arrangement, obtain the percentage or amount, calculation base, start event, retention period and release frequency. Does the percentage apply to gross sales, a net amount or particular transactions? Does the period use calendar days or business days? What can reduce a matured release, and what happens when processing stops?

Keep the original notice and subsequent changes. Separate the expiry of a particular retained batch from a review of the overall reserve arrangement. Shopify, for example, describes account review before expiry and possible continuation or adjustment. Its guidance also makes release into upcoming payouts distinct from immediate bank receipt. [2]

A lower percentage may improve current receipts while a longer retention period increases the stock of money held. Compare the complete cash profile before accepting changed terms. If a release is disputed, obtain the applicable agreement and qualified advice rather than borrowing an assumed maximum period from another provider’s help page.

03

Track each sales cohort, especially when volume changes

Suppose a contract retains 10% of each day’s gross eligible sales and releases that day’s retained amount exactly 30 calendar days later. Assume no cap, deductions, extensions or fees in this reserve-only example. A day-1 amount therefore releases on day 31. These are chosen modelling assumptions, not a provider quotation.

For days 1–30, daily sales are €10,000 and €1,000 enters reserve each day. The balance reaches €30,000 at the end of day 30. For days 31–45, sales fall to €5,000 a day: new withholding is €500 while €1,000 from an earlier cohort releases each day. After those 15 days the reserve is €22,500.

Assume sales then stop. No new withholding enters on days 46–60, while the remaining €1,000 cohorts mature. The balance falls to €7,500 at day 60. The €500 cohorts from days 31–45 release on days 61–75, taking it to zero under the stated assumptions.

This shows why the first release date is not the date the whole reserve disappears. With constant sales, new withholding can replace each matured cohort. When sales fall, releases and new withholding can diverge. Closing a real account does not establish this illustrated run-off: check the actual termination conditions, remaining refunds and disputes, and any additional hold before promising the money elsewhere.

1–30€1,000€0€30,000

61–75€0€500€0

04

Separate availability, payout dispatch and bank arrival

Daily payouts describe a sending cadence. Stripe explicitly says changing that cadence does not change how quickly pending funds become available. Its documentation also distinguishes settlement timing from the time a receiving bank may need after dispatch. [5] Read the country, payment-method, cutoff and account conditions for the service you actually use.

Ask what starts T in a T+X statement and what kind of day X counts. Then ask whether the payout schedule adds another wait and whether the bank arrival estimate is separate. A weekend example from one country or payment method cannot settle the timing of another.

For reconciliation, suppose a merchant’s €62,000 control report has four mutually exclusive buckets: €30,000 reserved, €12,000 unsettled, €10,000 in an initiated payout and €10,000 available at the provider. Assume the last bucket still needs €2,000 of refunds and €500 of fees deducted. That leaves €7,500 potentially payable from that bucket, before transfer timing. It does not make €7,500 cash already received at the bank.

The report total includes the €10,000 transfer already initiated; do not add it again as a new receivable. Nor should the €2,500 of deductions be subtracted twice if the provider’s available figure is already net of them. Reconcile the field definitions first, then apply the arithmetic to one consistent snapshot.

05

Handle a case-specific hold through its own review path

An information request or account restriction is different from ordinary settlement timing. Shopify Payments says an account hold can prevent payouts until the reason is resolved, and directs the owner to the account notification or email for the relevant details. Its examples include information requirements, bank details and product eligibility. [6] That guidance concerns Shopify Payments; another provider’s notice can describe different conditions.

Record the affected account, amount, currency, notice date, requested evidence and next review action. Confirm separately whether payment acceptance, refunds, payout creation or account access is restricted. A deadline to submit information is not necessarily a promised payout date.

Reply through the provider’s approved channel with evidence addressing the stated issue. Where a payout was actually sent, ask for its reference and destination details so the appropriate bank or provider team can investigate. Preserve correspondence and reconcile each subsequent adjustment. Avoid sending identity or full payment credentials into an unverified support thread.

If the provider offers a reserve review, ask what information is useful and how the decision will be communicated. A review does not guarantee a reduction or release. For material contractual disputes, seek appropriate professional assistance using the agreement and reconciled records. Opening another processing account does not release money held in the first one.

The practical takeaway

What it means to merchants

Prepare two working records: a daily reserve-cohort ledger and a balance-to-bank reconciliation. The first explains what was retained, when it may mature and what changed. The second explains which amounts are settling, available, reserved or already moving to the bank, without overlaps.

Use confirmed receipts in the operating cash plan and keep expected releases as dated, conditional inflows. Model slower settlement, deductions and lower sales separately. Do not rely on reserve money for a supplier or refund promise until its actual availability and permitted use are clear.

When asking for help, identify the specific missing step: an unexplained deduction, an unmatured cohort, a release that did not enter availability, a payout never created or a transfer not received. Attach the relevant references and request the next action. That gives finance, the provider and the bank a problem they can investigate instead of a dashboard balance they may each interpret differently.

The details that matter

Frequently asked questions

Does a rolling reserve disappear when the first amount releases?

No. New withholding can replace matured amounts while processing continues. Track each cohort and the account’s release conditions rather than treating the first release date as a full-balance payout.

Can I add pending and reserve balances together?

Only after checking the product’s definitions. Shopify Payments and Mollie document different treatment of rolling-reserve funds within pending amounts. Avoid adding overlapping figures.

Does a reserve review guarantee release?

No. Ask what the review covers, what conditions apply and how the provider will communicate its decision. Distinguish review, maturity, payout dispatch and bank receipt.
