Ask for the complete price schedule

A headline percentage cannot describe the full commercial arrangement. Request transaction charges, fixed fees, minimums, refund and dispute fees, payout costs, currency conversion, platform fees and any setup or exit charges. Ask which are provider charges and which may be passed through. Record the applicable currency and taxes where relevant.

01

Model a realistic month

Use the same monthly volume, transaction count, average ticket, refunds, disputes and settlement pattern for each quote. Illustratively, a 3% charge plus $0.20 across 1,000 transactions totaling $20,000 equals $800 before other costs. That is a 4% processing cost for that scenario, not a market benchmark or an offer. A different ticket size changes the effect of the fixed fee.

02

Separate liquidity from expense

Show reserve retention separately from fees, while recognizing that unavailable cash can create financing pressure. Request examples of net settlement and explain any conversion path between presentment and payout. Compare like-for-like terms rather than treating a low rate with restrictive payout conditions as automatically cheaper. Stripe’s pricing page is one provider-specific example of why product and geography matter.

The practical takeaway

What it means for merchants

Build a one-page cost model and reconcile the first live statements against it. An unfamiliar deduction is a question to investigate, not immediate proof of misconduct. Ask for the contract reference, calculation and correction process when a charge appears inconsistent.

The details that matter

Frequently asked questions

What is an effective processing rate?

Define your calculation, such as processing charges divided by processed sales, and use the same included fees and period for each comparison.

Are setup fees always refundable?

No universal assumption is safe. Obtain the refund conditions, deliverables and payment milestones in writing before paying.

Why does a fixed transaction fee matter?

It represents a larger percentage of a small purchase. Model your actual transaction count and average ticket.

Should reserves be included as fees?

Track them separately from charges, then model their effect on available cash and financing needs.

Can settlement conversion add costs?

Ask whether conversion occurs, which rate or markup applies, and whether intermediary or receiving-bank charges may also arise.

How do I challenge an unexplained charge?

Request its name, calculation basis and contractual reference, compare it with your quote and raise a documented billing enquiry.
